How to resign with a professional letter step by step
Check your notice period
Look up the notice required by your contract or employee handbook. In the US, at-will employment usually expects 2 weeks. In the UK, statutory notice is at least 1 week, and contracts often require 1–3 months. Many EU countries set notice by law or collective agreement.
Tell your manager first, in person or on a call
Have the conversation before sending the letter. Keep it short and positive. You don't have to give detailed reasons, and 'a new opportunity' is enough.
Generate and send the letter the same day
Choose a formal or warm tone. Email it to your manager and copy HR so the date of notice is on record. Keep a copy for yourself.
Plan the handover
List your open projects, owners, passwords stored in the company vault (never in documents) and important contacts. A clean handover protects your references.

Do I have to give a reason in a resignation letter?
No. A resignation letter only needs your intention to resign, your role and your last day. Giving a reason is optional, and anything negative belongs in the exit interview, if anywhere, not in the letter.
Is two weeks' notice required by law?
Not in most US states for at-will employees: it's a professional custom, not a legal requirement, unless your contract specifies it. In the UK, the EU and many other countries, minimum notice is set by law or contract, and leaving early can have consequences.
Can I resign by email?
Yes, in most workplaces. Email gives a timestamped record. Ideally, talk to your manager first, then send the letter by email the same day.
